Aftersales Assistant (Clerk)

Reporting to: Aftermarket Solutions Manager Systems: Integrated ERP, CRM, Inventory, and Field Service Management (FSM) Tools

Focus: Customer Success, Data Integrity, and Inventory Accuracy

The Role

We are looking for an organised and customer-focused Aftersales Assistant to support our growing aftersales team.

You will be the friendly first point of contact for customers, suppliers and technicians while helping ensure our parts, orders and business systems remain accurate and up to date.

This is a varied, hands-on role covering customer service, quoting, purchasing, inventory administration, documentation and general operational support. It would suit someone who enjoys working with people, learning technical products and keeping things organised.

Key Responsibilities

  • The Friendly Voice: Manage incoming phone calls and support tickets with a professional, helpful, and high-energy attitude. You are the first impression, you make it count.

  • Data Integrity & Inventory Control: You are the gatekeeper of our inventory management system. You will process Sales Orders and Purchase Orders with total precision. If a part moves physically, it must move in the system. You will lead regular spot-checks to ensure our stock data is always accurate. Follow up pricing, availability, backordered parts and delivery timeframes.

  • CRM & Technical Documentation: Keep our customer records and technical library clean. Whether it’s updating a site address or organizing new part manuals, you ensure the information is correct and easy for the team to find.

  • Operational Support: Prepare documentation for technicians, assist with urgent courier shipments and support general warehouse organisation and process improvement.

  • Proactive Communication: Don’t wait for the customer to call us. You will provide regular updates on backordered parts, ensuring our clients are never left in the dark during a repair.

  • The "Roll Up Your Sleeves" Factor: We are a high-growth team. Whether it’s helping pack an urgent courier shipment, labeling new stock, or assisting with a warehouse tidy-up, you’re ready to jump in where needed.

  • Continuous Improvement: encourages initiative, identifying opportunities, suggesting system enhancements, and improving efficiency.

Skills & Experience

  • Attention to Detail: You have a strong commitment to accuracy. You notice when a part number is a digit off or a stock count doesn't look right, and you take the initiative to fix it.

  • Service Excellence: You enjoy talking to people and building rapport. You can take a stressed customer and put them at ease with clear communication and a helpful tone.

  • ERP & CRM Literacy: You are tech-savvy and comfortable navigating modern cloud-based business systems. Previous experience with inventory or helpdesk software is highly valued.

  • Industrial Aptitude: You are willing to learn the technical specs of our parts and machinery so you can better support our customers and technicians.

  • Efficiency: You can handle a ringing phone while processing an order without losing your place or your attention to detail.

  • Soft Skills: Professional written and verbal communication skills. Experience communicating with customers, suppliers and other stakeholders.

  • Organised: Good organisation and the ability to manage competing priorities.

  • Experience: Previous administration, customer service, parts or inventory experience is highly regarded.

Why Join Us?

  • Direct Impact: You aren’t just a number; you are a foundational member of a newly created department.

  • Modern Environment: We utilise modern, integrated systems to keep our business moving, no more old-school paper trails.

  • Professional Growth: Work directly with the Aftermarket Manager in a role that values your organisational skills and offers real insight into how a technical business operates.

  • Training and Professional Development: in-house software and industry training, industry expos, and one-on-one mentorship.
