About the role
In this diverse and rewarding position, you will be responsible for providing executive level administrative support, coordinating companywide initiatives and events, and managing essential office operations. You'll also play a key role in payroll coordination and support our Health, Safety & Environment (HSE) initiatives.
Key responsibilities:
Executive & Administrative Support
Manage complex calendars and diaries for the Executive Leadership Team
Coordinate meetings, travel, accommodation, and event logistics (domestic & international)
Prepare correspondence, reports, presentations, and meeting minutes
Liaise with internal and external stakeholders on behalf of the Executive Team
Assist with project administration and management reporting
Process monthly expense claims and reconciliations
Office & Facilities Management
Oversee mail, stationery and office supply management
Coordinate maintenance requests, test & tag compliance and general facilities support
Organise companywide events and initiatives including morning teas, monthly social office gathering, roadshows/townhalls, and the annual Christmas celebration
Payroll Coordination
Liaise with external payroll provider to process monthly payroll and ad hoc payments
Distribute payroll reports and upload bank file for management approval
Monitor the shared payroll mailbox and respond to employee queries
About you:
You will have a warm, friendly nature with well rounded and professional communication and interpersonal skills, with the ability to build strong relationships at all levels or the organistation. In addition, you will be able to demonstrate:
2+ Years as an Executive Assistant supporting senior executives
Ability to handle confidential information with the utmost integrity and professionalism
Strong attention to detail, task orientated, solutions focused and able to work autonomously or as a team player with minimal supervision
Proficiency in Microsoft Office - (Excel, PowerPoint, Word), Microsoft Teams and SharePoint
Exceptional organisational skills with the ability to manage competing priorities and resolve issues efficiently
Experience thriving in a fast paced environment
Payroll experience is desirable but not mandatory.
